In a bid to protect its official records from damage and ensure they are easily accessible to officials,the Pune Cantonment Board (PCB) has floated bids for the digitalisation and preservation of the records,including the lease documents of its properties.
According to PCB officials,the bids were issued in end-April. The digitalisation of the records including the lease record on the defence land,will help in preservation of the data,they said.
The lease documents include the leases on land used by people in the cantonment area for both the residential and commercial purpose,they added.
The leases had been issued to the people in the cantonment area after the British left the country and the documents specifying the use of property by the people for a fixed period of time are as old as 50 years.
In the bids floated by the cantonment board it has specifically asked that they were seeking to digitalise and conserve the registers as well as the lease records. In the intial phase,PCB plans to conserve some 20 registers comprising 504 pages each and the lease records on as many as 4,256 pages. PCB officials said the bids were issued on 26 of April and it was specified in the tenders that the people who quote the interest should also give the time by which they would be able to complete the digitalisation. This has been done to start the project at the earliest.
In the digitalisation of records,the companies have been asked that they would have also to clean the records,deacedify them ,scan the data and prepare their electronic files through the optical character recogniton (OCR) technique.
